Hotel Availability (HOA) vs. Hotel Index (HOI) | | Have you ever requested a negotiated rate using the HOI (Hotel Index) entry and received the following response? NO PROPERTIES FOUND MEETING SPECIFIED CRITERIA This can occur when the negotiated rate is offered by an Inside Shopper® participant, even when the property has the negotiated rate. That’s because Inside Shopper hotels typically store rates in their own CRS (Central Reservations System) instead of in the RoomMaster® database (Apollo). HOI is checking RoomMaster. In addition, Inside Shopper properties return the following status codes with the initial HOA display, so you can quickly determine whether a property/rate is available: A -*AVAILABLE*: the property (and date requested - if applicable) is available in the hotel's reservation system. O -*OTHER RATES*: the rate type requested was not available however the hotel has *other* rates available. C -*CLOSED*: the property is not available for the dates requested. An HOC can be requested for the *Closed* property and alternate availability will be returned from the participating hotel chain. To ensure that you get current availability for all hotels, use HOA, and then HOC to check complete hotel rate availability. Use HOI to view an index of hotels for a particular location only. -

Resolve Missing Multilevel Rates/Rate Access Codes | | Have you negotiated preferential room rates with a hotel chain or individual hotel property(ies)? Are you unable to sell these rates in RoomMaster® because the multilevel rate access code or rates are missing? Now, there are two new ways to get help. 1. In Apollo®, display the MULT keyword for the chain. This keyword is also now located in the list of primary keywords. To display the MULT keyword in Apollo® type: HODxx/MULT (where xx = chain code) In Viewpoint™ do the following: -
From the Hotel drop-down menu, click Description. -
Select a chain code. Type the chain code in the field provided, or use the drop-down to search. -
Click OK. -

New Hotel Availability Screen | There’s been a big change to the Hotel Availability screen in Focalpoint®. The maximum number of properties on an HOA screen has increased from three to 11 on the first screen and from four to 12 on subsequent screens. Here are the highlights: - Each property takes one line vs. two. The same data appears in a condensed form.
- Maximum 11 properties appear on the first screen and 12 on subsequent screens.
Note: The number of properties is reduced on screens that include alerts, Headlines, or activated TravelScreen preferences. - New Rates From column at the end of the line replaces rate range. This column may include one of the following:
o USD 199 – currency code and lowest non-credentialed rate. As before, all applicable rates appear on the HOC screen. Note: If you request a negotiated rate or special rate category, and those rates are available, they may appear here. o TRY HOC – appears when an Inside Shopper participant’s rates are not returned or the link is down. o NOT AVAIL – appears when the property is not available. - No new formats; no changes to other screens.

Hotel Modify Dates | Margie Bradshaw is going to a customer meeting in Cleveland on November 4 and has booked her hotel for two nights. She’s decided to stay with her cousin on the second night instead and calls to change her hotel reservation to one night. Before you change her reservation, it’s important to check that the room rate is still available and check for change penalties. So, here are the steps to change her reservation. Hotel Cancellations | Have your customers ever received a no-show bill for a hotel that you cancelled? This can be frustrating for both of you, so here are some helpful hints to avoid this situation. - Always check the hotel cancellation policy (example: HOVS2 if the hotel is segment 2 in your PNR). Policies vary greatly between different hotel locations, time of year, type of rate, special events within the city, etc.
- Make sure you received a cancellation number. Without it, the Help Desk may be unable to assist if there is a problem with the booking.
- When you cancel the hotel, make sure you End Transact the PNR right away. Some vendors may "time out" the transaction if the record is not end transacted in a timely manner, even if you have a cancellation number appended.

Hotel Approximate Total | | Hotel suppliers have always provided nightly rates in Apollo®. Effective January 7, 2005 they also have the option to provide the approximate total for the entire hotel stay, including taxes and surcharges. You may find the approximate total on the Hotel Complete Availability screen (HOC), Hotel Validated Rules Display (HOV), and the sell response. The first participating suppliers are Supranational Hotels (chain codes SX, BX, SQ, EE, PR, and MM) and Starwood Hotels (chain codes GX, SI, WH, and WI). More hotel supplier implementations will take place later. This enhancement is currently available in Focalpoint® and will be available in the next full release of Viewpoint™. Setting Multilevel Rate Code Defaults in Viewpoint | | If your agency has multilevel rate codes that apply to all your customers, you can customize your Viewpoint™ Hotel Availability dialog box to always check availability for these codes (unless TravelScreen™ preferences are active). Here’s how: - On the Viewpoint Tools menu, select Options.
- On the Hotel tab, enter up to three multilevel rate codes.
- To check other rates in addition to the multilevel rates, in the first Rate Categories field, type All.
- Click OK.
Now, whenever you check hotel availability in Viewpoint, the multilevel rate codes and categories for this terminal will automatically be selected. Note: When checking availability for a booking on which these codes do not apply, you can delete them from the Selected Options area in the Availability dialog box. Hotel All Brands Codes in TravelScreen | | There’s a minor change in TravelScreen that may have a major impact for you! Hotel all brands codes identify hotel chains that are associated to a particular brand or conglomerate. For example, a traveler may have a membership number for the Every Hilton (EH) brand, which includes the following hotel chains: Doubletree, Embassy Suites, Hilton, etc. You can now enter hotel all brand codes in place of individual chain codes in the TravelScreen Hotel Membership and Hotel Preference screens. If all brand codes are entered in the Membership screen, the membership number is automatically appended during the availability and sell process. This can be a great timesaver for the agent entering TravelScreen preferences. In addition, if a chain is added to an all brand group, it will now be automatically reflected in availability preferences and membership numbers will be appended. "More" Hotels in Viewpoint™ | | Get “More” out of booking Hotels in Viewpoint™! More Hotel Availability... When looking at Hotel Availability, you may have noticed the More button at the top of the screen indicating that there are more properties that match your search criteria. To display them, simply click the More button. More Complete Availability... But did you notice, that the More button also appears on the Complete Availability screen? When you see the More button on the Complete Availability screen, click on it to see more rates. Once you have displayed all the rates, you may sort the Rates in low-to-high order by clicking on the Rate button in the header line. (You may sort by any header title on this screen, such as Bk Code or Description.) More Reference points… Have you ever been unable to find a Reference point on the list? Hotel Frequent Guest Number | | Your client has a meeting in Hoffman Estates, IL and needs to stay at the Marriott. You request hotel availability: HOA17JUN-1NTHOFFMAN ESTATES/MC When you tell her it’s sold out, she flashes her Marriott Platinum frequent guest card. In the past, you would have called the hotel to see if they could accommodate her. Now, for InsideShopper® hotels like Marriott, you can enter the frequent guest number in the availability format.
You request hotel availability with the frequent guest number, and magically, rooms are available.

When you enter the frequent guest number in the availability request, it is carried over to the sell prompt on the complete availability (HOC) screen so you don’t have to reenter it when you sell. 01INSIDE·. /FG-123456789.

Galileo Hotel Images Icon | | You've probably seen the Galileo Hotel Images website. To view color photos of hotels in Apollo®, you simply type the RoomMaster ID and click Go. You can find the four- or five-digit ID at the top of the Hotel Description (HOD) in Focalpoint® or Viewpoint™. But do you know that there is an easy way to create a Hotel Images icon on your Viewpoint™ and Focalpoint® toolbars in Galileo Desktop? Here’s how: - On the Viewpoint Tools menu, select Viewpoint Custom Toolbar Editor.
The Viewpoint Custom Toolbar Editor dialog box appears. - In the Button Definition section, click Browse.
- Select an image, such as hotel.bmp or hotelbed.bmp, to serve as an icon for the link and click Open. The dialog reappears showing the selected icon next to the Browse button.
- In the Tool Tips for this button text box, type Hotel Images.
- In the Button Action section, select Web Page. The Web URL text box becomes active.
- In the Web URL text box, type: http://support.galileo.com/hotelimages
- In the bottom right corner of the dialog box, click Add New.
The information you have enter appears in the white box on the right side of the dialog box. - On the File menu, click Save.
- On the File menu, click Exit.
A warning appears indicating that you must restart Viewpoint to see changes. - Click OK.
- Without signing off, close Galileo Desktop.
When you reopen Galileo Desktop, an icon appears on your toolbar , provided that Custom Toolbar is checked under the View menu in Viewpoint™ . The toolbar will be visible on both the Viewpoint™ and Focalpoint® view of Galileo Desktop once this is done. So, the next time you are checking hotel availability and want a closer look at that pool or breakfast buffet, click your Hotel Images icon on the Custom toolbar , type the RoomMaster ID and Go!
Note: If you'd like to create other icons, Help for Custom Toolbar Editor is available within the Custom Toolbar Application. Just click HELP on the Menu bar once in the Custom Toolbar Editor application.

Hotel Travel Industry Discounts | Did you know that you can look for travel industry discounts for hotels in Apollo®? In some cases, hotels provide the rates in Apollo. In others, the Hotel Description provides the discount policy. Here are some helpful hints. Request availability with: Travel industry multi-level codes: TVL TA FAM Travel industry rate category: /C-TVL Check the Hotel Description Travel Industry Info (TRVL) for policy information. You know should offer to book hotels on every booking. It shows you are a professional, saves the customer time, and makes money for your agency. To facilitate the booking process, here are answers to some frequently asked questions about booking hotels in Focalpoint®. I’ve noticed an exclamation point in the HOA display to the left of the hotel chain code. What does it mean? The ! identifies Best Available Rate (BAR) participants. These hotel chains offer the best unrestricted rates available via direct hotel contact (phone or website) in Apollo®. For a list of BAR participants, see: S*HTL/BAR Hotel cancellation policies appear in HOD (hotel description) and HOV (hotel rules). What’s the difference? - HODRA/CANC (RA is chain code) shows the general cancellation policy for the hotel chain.
- HOD47437/CANC (47437 is property number) shows the general cancellation policy for the property.
- HOV2 (from HOC line 2) or HOVS2 (from segment 2) shows the rules including cancellation policy for the specific property, dates, and booking code. It’s important to review the HOV, which may be more restrictive than the HOD.
What are All Brands codes and why should I use them? All Brands codes are simply hotel chain codes for a group of affiliated chains. You can use them in HOA and HOI formats the same way you use individual hotel chain codes. Use All Brands codes to search for available hotels that participate in a frequent guest program, or to see a larger variety of hotels that fit your search criteria. Example: HOA21FEB-25FEBHONOLULU/SW/F-HSI How do I find All Brands codes? - To see a list of All Brands codes, see: S*HTL/ALL BRANDS

Hotel Modify Best Practice | | Here are typical reasons you would change the booking code: - Bed type – from a king to two doubles
- Rate type – from a weekend rate to Best Available Rate
After you modify the booking, it’s important to verify the new details, such as rate, occupancy, and dates before you end transact. If you are not satisfied with the new booking you have the option to ignore the PNR and revert to your original hotel booking. Here is the best practice for modifying a hotel booking. Focalpoint® - If you:
· Do not need to change the booking code, go to step 2. · Need to change the booking code, check complete hotel availability to determine the new booking code. Example: HOC1OCT-5OCT10751/2 (includes dates, property number, and number of guests). - Enter the format to modify the hotel segment.
Examples: To change for segment 3: | Enter this format: | Room data (change to two rooms with single occupancy) | HOM3R/2B2DWKD-1 | Dates | HOM3D/23SEP-25SEP | Optional fields | HOM3O/FG-1234567 | - Check the rules to verify that the details, such as nightly rate for each night, number of rooms, occupancy, optional items, are correct.

· Satisfied with the changes, complete the PNR and end transact. · Not satisfied with the changes, ignore the PNR. The hotel booking changes and any other changes made during the session are ignored. - On the Hotel menu, select Modify.
The Hotel Modify dialog box appears containing the original booking data. - On the Basic Fields tab, verify the number of adults and number of rooms.
- Change the data on the Basic Fields, Rate, Customer, and Extra tabs as required.
- If you:
· Do not need to change the booking code, go to step 8. · Need to change the booking code, go to step 6. - Click Check Availability.
The Check Availability dialog box appears. - Select a booking code and click OK.
- Click Sell.
The Vendor Summary appears. - Click Itinerary.
The Itinerary screen appears with the modified hotel segment. - Verify that the details in the hotel segment, such as rate, number of rooms, occupancy, and optional items, are correct.
- If you are:
· Satisfied with the changes, click Finish, and then Save. · Not satisfied with the changes, on the File menu, select Ignore. The hotel booking changes and any other changes made during the session are ignored. For help in Viewpoint, press F1 on any screen. |
Hotel All Brands
| Your customer needs a hotel in San Jose and asks if there is a Sheraton, a W Hotel, or a Westin near her meeting. Aha! She must belong to Starwood’s frequent guest program. Why not check availability for all Starwood brands by using the All Starwoods Brands chain code.. In Focalpoint: - Determine if all her preferred chains participate in Starwood’s All Brands chain.
- To display a list of All Brands, enter S*HTL/ALL BRANDS
- To display a list of All Starwood Brands, enter S*HTL/SW
- Use the All Starwood Brands code (SW) in your availability format instead of the individual chain
codes. Example: HOA9APR-12APRSJC/SW In Viewpoint, in the Hotel Availability dialog box, select the Chains tab and enter either SW in place of the individual chain code, or type ALL STARWOOD in the chain code field. Are you still using the /EX- optional sell field in your hotel sell to request extra adults in a room? For most hotels, this is no longer necessary. For participating hotels, you can request a triple or quad in your availability request. The triple and quad rates appear in the Complete Availability and Hotel Rules responses, and the request for the triple or quad is carried over when you sell the hotel from prompts on these displays. Focalpoint® Format Examples: To request a triple for the city/arrival date in segment 1, until departure date 14 December: /1+HOA-14DEC3 To request a quad for 21-25 April, in San Francisco, distance 5 miles, for chain code KC: HOA21APR-25APRSAN FRANCISCO4/D-5/KC Note: If you request a triple or quad, only those hotel chains that support triple/quad functionality appear in the response. Hotel Availability - Best Available Rate! | If you’ve checked Hotel Availability in Focalpoint® recently, you may have noticed a new symbol – an exclamation point (!) next to the chain code for many properties. The exclamation point is a commitment that the hotel chain provides their Best Available Rate (BAR) in Apollo®. The Best Available Rate is defined as the lowest unrestricted rate available to the general public on a particular day for a particular stay; the hotel offers the same or lower rate in Apollo® that they offer over the phone or on their Web site. Currently there are 56 chains and approximately 21,000 properties participating in BAR. Although the BAR symbol does not yet appear in Viewpoint™, you will find the same, low rates in Viewpoint Hotel Availability displays. The end item (+) and asterisk (*) denoting participation levels have been removed from the screen for a cleaner display, but you can still identify Insider Shopper® participants by A (available), C (closed), or O (other rates) next to the line number. Galileo Hotel Images
| The hotel description reads great in Apollo®, but what does the hotel look like? Now, through Galileo Hotel Images, you can view photos of participating hotels throughout the world. Here’s all you do: 1. Find the four- or five-digit RoomMaster ID number at the top of the Hotel Description (HOD) in Focalpoint® or Viewpoint™. (The RoomMaster ID also appears in the sold segment.) 2. Go to: http://support.galileo.com/hotelimages/ (Be sure to add this to your Favorites.) 3. Enter the RoomMaster ID and click Go. Extra Tip for Viewpoint Users: If you are using E-agent, you can setup an additional website via Tools, Options, Web tab, then check Display Additional Website and add the above URL. Hotel Availability for City Center | When checking hotel availability for an airport code which is also the city code, you receive availability for hotels near the airport. Example: HOA21JUN-25JUNSFO To check availability for hotels near the city center, spell out the city name. Example: HOA21JUN-25JUNSAN FRANCISCO For some cities, you may be required to select the correct city from a similar names list. To find what is considered the city center, use this format with the city (not airport) code: S*HTL/SFOX For more formats, see: HELP HOTEL | |
Hotel Deposits and Prepayment | There is a trend among hotel chains to require a deposit or prepayment on some bookings, especially for special rates and peak travel times. If you fail to prepay those bookings, the hotels may cancel them. Here are some tips to ensure that your hotel reservations are confirmed. - Read the Hotel Complete Availability (HOC) display and the Hotel Rules (HOV) to determine if a deposit or prepayment is required.
- If deposit or prepayment is required, be sure to specify deposit—not guarantee in your sell transaction:
- In Focalpoint®, use the deposit optional sell field: /G-DPSTVI4444444444444444EXP1209
- In Viewpoint™, after entering the credit card number, select Deposit.
- Pay attention to the response. For instance, if a deposit is not entered for a Holiday Inn prepaid reservation, the following error message appears:
