Microsoft® Office Tips | | Here are some handy tips for Microsoft® Office applications. - Press CTRL F6 to toggle between documents within an MS Office application.
- Press F12 to Save As in most MS Office applications.
- Right click the Start button to open an Explorer window.
- Right click the Taskbar, and then select Show the Desktop (to minimize all windows).
- F4 repeats last command in Word and Excel.
- Select text and press CTRL ] to increase font size, or CTRL [ to decrease font size.
- Use AutoCorrect function in Word, PowerPoint, Excel to create "shorthand" for frequently typed words or phrases, e.g. if your company name is Travel by Toni, type shorthand "tbt" and press Enter or the spacebar and it will change to "Travel by Toni." Use it to correct frequent typos, changing "manger" to "manager." Here's how:
- On the Tools menu, select AutoCorrect.
- In the Replace field, type your shorthand entry, e.g. tbt
- Tab to the With field and type what you want your shorthand entry to translate into, e.g. Travel by Toni
- Click OK.

Managing Work Areas | Did you know that Apollo provides five work areas? These areas, known as Agent Assembly Areas or AAAs, allow you to access five different PNRs at the same time. Some vendors will not let you hold segments without ending the record within a certain time-frame, so make sure you complete PNRs in a timely manner. When you sign on to Apollo, you have access to all five AAAs—A, B, C, D, and E, with A as the default. Focalpoint You can navigate between AAAs and display PNRs residing in each AAA in different Focalpoint windows. You can also display a list of AAAs to see which AAA you are working in and which AAAs have active PNRs. Here are a few handy formats. Secondary Authorizer | Does your agency have a Secondary Authorizer for Apollo? A Secondary Authorizer is in charge of administering passwords, building/deleting logons, and granting agents access to various Apollo functions. Your Secondary Authorizer can control who has access to functionality such as Agency Private Fares, Custom Check rules, and various profile and queue functions. Having a trusted employee, who knows your employees and your business, as your Secondary Authorizer ensures that you maintain the security of your business, client records, and travel reservations. To set up a Secondary Authorizer for your agency, your manager or owner should contact the Help Desk if you do not have someone designated. To register for an instructor-led online class on Apollo Terminal Security: 1. Go to: http://support.galileo.com/SGC/LMS/AMERICAS/en-CA 2. Enter your pseudo city code and agency PIN, and then enter your Apollo sign-on and initials. 3. In the Self-paced Online section, under Learn Out Loud, click Apollo Terminal Security. 4. Make several changes to a PNR and only end transact (ER or E) when required. -
If your PNR is already displayed, MD or MU vs. *R every time you need to see another item. -
When updating a schedule change, enter .IHK to change segment status of all updatable segments at once vs. .1HK .2HK .3HK. -
When you want the best buy for the booked itinerary, enter $BB0 vs. $BB and then rebooking. -
If you need to view the fare rule for line 1 in a tariff display at a glance, enter $V1/S vs. $V1 and then $V/ALL. -

Diner's Club Form of Payment | | Diners’ Club North American and MasterCard International forged an acceptance alliance last year which allows Diners’ Club cards issued in the US and Canada to be accepted by all merchants who accept MasterCard. New cards are being issued with both companies’ logos. Effective immediately, whether the customer presents an old Diners’ Club card or a new card with both logos, enter the MasterCard code, CA, in the Form of Payment field of your PNR. Registering for Courses | We provide quick steps on how to register for classes at the end of many of our tips. This week, let’s take a closer look at the types of courses and the registration process. Galileo offers three types of courses: - Self-paced online courses cover many topics including air, fares, cars, hotels, Relay, and sales skills. You can take individual courses or follow a curriculum. Classes average an hour in length, are available 24/7, and are free of charge.
- Instructor-led online courses are available through a WebEx session and usually highlight specific products. Classes run for 1 – 1½ hour, are scheduled at various times, and are free of charge. (Cancellation/no-show fees apply.)
- Classroom courses are general Apollo classes and advanced products courses, such as Custom Check, Scriptwriter Plus, and Agency Private Fares. Classes are offered in our Atlanta and Denver classrooms, are 2 – 4 days long, and are fee-based. (Cancellation/

Notes: If this is your first time logging on to the Learning Management System, you will be required to complete a profile. Service bureau agents who do not have an Apollo sign-on may create a profile using their initials for both Sign-on and Initials fields. - Click the course or curriculum you would like to take.
Depending upon the type of course, the registration process varies from this point. With self-paced courses, you may launch a course at the end of the registration process. Self-paced Courses and Pop-up Blockers | | You’ve decided to improve your Apollo® skills by taking an online self-paced course on Apollo PRO-files™. You’re excited! In the space of an hour, you’ll be the office expert. You register for the course – no problem. But the course does not launch. What’s happening? Chances are, you have an active pop-up blocker. Before you can launch Galileo self-paced courses, you need to either disable all pop-up blockers or temporarily override them. To temporarily override pop-up blockers: Hold the Control key while you launch the course. To disable all pop-up blockers: - On the Internet Explorer Tools menu, select Turn Off Pop-up Blocker. (If it is already off, you won’t see that option.)
- Click the pop-up icon on any other toolbars that you have loaded (Yahoo, Google, etc.) and follow the instructions.
- Right-click on a blank area of the toolbar to determine if you have any hidden toolbars, which may also have pop-up blockers. If you have any hidden toolbars (Yahoo, Google, etc) make sure that pop-up blockers are disabled.

Apollo Keywords It’s the weekend and you’ve forgotten your Apollo® password. You’re locked out of Apollo and your secondary authorizer is away for the weekend. Soon, this won’t be a problem. Galileo will be introducing a new web tool soon to unlock your Apollo sign-on, as long as you can provide your Apollo agent sine and keyword. So if you don’t know your Apollo keyword, now’s the time to set it. Here’s what you do: -
Display your STD profile. Example: STD/ZABC (ABC=agent sine) -
Tab to the KEYWORD field and enter a 4-6 alphanumeric keyword. Be sure it’s easy to remember – your pet’s name, your favorite PIN, or your address, for instance. -
Tab to the end of the line (after the N) and press Enter. More about keywords: - Only you can change your keyword – not your authorizer and not Apollo.
- You only need to use it when Apollo or your authorizer is verifying your identity (like when you are locked out of Apollo).
- Once you set your keyword, you are never required to change it, but you are permitted to change it at any time.

Instant Cheatsheet | Have you ever read an Apollo® Help page or a briefing page in Apollo and thought, "I wish there were an easy way to print the entire page?" There is! Here's all you do. To print a page with Focalpoint Relay™ Response Capture. - Display the page in Focalpoint®. Example: HELP EMAIL
- On the Focalpoint Companions menu, select Relay.
- On the Relay toolbar, click Response.
- In the Window section, select Complete Active Response.
- In the Destination section, select Printer/Fax.
- Click Capture.
- In the Print dialog box, click OK.
This gives you a copy of the entire page—your own Quick Reference. You can highlight the important formats and post them at your workstation. This is the best way to print any scrollable displays, such as PNRs, histories, $TAX, and tariff displays. Try the other options in the Window and Destination sections of the Response Capture dialog box. For example, by changing the destination in Step 5, you can view the display in Notepad. This is especially helpful if you want to use a Find command for a specific item in a PNR history or $TAX display. For Help on the Relay application, press F1. . | |
STD Profiles and Passwords | Galileo is establishing new security measures this spring for agent sign-on (STD) profiles. By adopting these measures now, you can secure your Apollo® sessions and avoid the spring rush. Here are the new rules and the actions you can take now. Every Apollo agency will be required to have at least one secondary authorizer. If your agency does not have a secondary authorizer, contact the NAHD. Every Apollo user will be required to have a sign-on profile. If agents in your office currently share sign-on profiles, your secondary authorizer should create sign-on profiles for every agent. Every Apollo user will be required to sign on with a password. If agents in your office use password bypass, your secondary authorizer should set Password Bypass to No. Passwords will need to contain 7-10 characters. (Today 6-10 characters are required.) Next time you change your password, make sure that it contains 7-10 characters. In addition, passwords: · Must contain at least one alpha and one numeric character. · Cannot contain the user’s first name, last name, or user ID. · Cannot contain any character repeated three times. (Example: AAA or 222.) · Cannot be the user’s previous five passwords. · Are good for 90 days. Overcoming Objections | Mrs. Potter's voice quivers, just a bit. She can't afford the price you just quoted for her trip. You want to help her and you really want the sale. Here are some ways you can overcome her objections by paring down the cost. - If you can save money by flying into Chicago Midway instead of O’Hare, can your friend pick you up there?
- Fares for flights often vary by the time of the day. If you are flexible, I can see if morning flights are less expensive.
- Midweek travel is generally less expensive than weekend travel. Can you travel on Tuesday or Wednesday?
- If it’s less expensive, can you stay until Sunday?
- Sometimes the fares are lower if you book in advance. Can you leave on the 21st instead of the 18th?
- Why don’t we check for the best hotel values? Then we can check the hotel features to make sure that the hotel meets your requirements.
- If you pick up the car on Thursday instead of Wednesday, you qualify for the lower weekend rate.

Tab to the last field on the profile and press Enter. The next time the agent signs on with the temporary password, she is prompted to change her password.
