Data Preparations Required Before Conversions
To optimize the quality of the IWF conversion, some data clean-up is highly recommended. Click here to view a quick summary, data clean-up for IWF conversions. Review the following recommendations for each area:

FOP: The Form of Payment Template
Delete any expired credit cards. Expired credit cards are not excluded from the IWF template. Normally, all form of payments convert to the IWF template without errors. Click here to view the PIFP template.

FQTV: The Frequent Traveler Template
Delete any expired Frequent Travel cards. Invalid frequent traveler numbers and NON-Travelport Frequent Traveler Participants are not excluded from the IWF template. Normally, Travelport Frequent Traveler Participants convert to the IWF template without errors. Note: Level 2's (company profiles) do not have a FQTV IWF template. HN***: The Hotel City Template
Hotel lines vary from system to system and agency to agency—preparation is highly recommended.

Important: All information pertaining to a particular hotel chain must be on one line and separate from information for other hotel chains. Here’s an example:

  • Before  account profile clean-up
                301 5.H HI ID-0123456 HY CD-987654
  • After account profile clean-up
                301 5.H HI ID-0123456
                302 5.H HY CD-987654

Failure to clean up profiles will result in lost data. Using the first line from the illustration above, the IWF transfers HI as the primary hotel chain and appends the ID-10223456 and CD-987654, ignoring the HY chain. Obviously, this is not desired result.

  • All hotel qualifiers, such as ID- SI- CD- FD-, require the proper data for processing. The assumption HY-0321654 is an ID- part or a CD- part cannot be made. If this is an ID, then a change to the line is required to reflect HY ID-0321654.

Hotel Guarantees
The IWF program does not process hotel guarantees from hotel lines. If you want to retain the credit card number in a hotel guarantee, then copy the credit card number into the FOP format. The Hotel template and FOP template are independent but have an interactive link; this is the design and the beauty of IWF. In most cases, the hotel guarantees also exist in the FOP, but some travelers prefer a second credit card for guarantees, it is up to the account to decide which FOP the traveler wants. Hotel Codes or Hotel Names
Hotel names can be spelled out: HY or HYATT. With one exception—Sheraton needs to be spelled out. The most common field identifier is the SI- field. To prevent all records from falling into the Sheraton company code, the program will only process Sheraton if Sheraton is spelled out.

CN***: The Car City Template
The Car City IWF template is similar, almost identical to the Hotel City Template. The same data preparation for the Car City template is the same as the Hotel City. Click here to view the PICN template
