Release Letter* Procedure
Most conversion activities are delayed because of an incomplete Release Letter. To reduce the chances of a delay, review this page carefully before requesting a PNR/Profile transfer. Failure to follow these procedures will delay the PNR/Profile conversion up to 5 business days.
Most Common Delays are Due to:
- The Release Letter not submitted 5 days prior to the retrieval date.
- The Release Letter must be sent by the Agency owning the data.
- Invalid Office ID/PCC and invalid ARC or IATA number.
- The agency did not place the PNRs on queue.
Release Letter Form Procedures
- Verify the correct GDS form is being used.
- All field must be completed, use NA for fields Not Applicable.
- Do not leave date and time blank.
- Be specific as to what Queue/Category number the PNRs are going to be placed before submitting the Release Letter.
- Verify Sid/PCC/Office ID and ARC/IATA number.
E-Mail Procedures
- Attached the completed document to an e-mail and send to the two e-mail addresses list at the top of the form.
- The e-mail with the attached document must be sent by the agency releasing the data.
- The return e-mail address must reflect the owner's name or agency name.
- Send the Release Letter at least 5 days business days before the retrieval date noted on the Release Letter letter.
- When a customer does not have EMail capability, the ASR or CPP could scan the documents and send an EMail for the customer.
PNR Preparations
- Make sure the PNRs are on queue by the capture date and time.
- Placing the PNRs on queue is the agency's responsibility.

* The Release Letter is also know as Agency Authorization for Release of Information. Legal document which gives permission for a specific GDS/CRS to capture data and send the data to another GDS/CRS.
